One worker can be trained every month to ensure there are at least two workers at any given time who are trained in first aid in case of absence or leave. Workers trained in first aid must be easily identifiable (Badge) and listed in a register.
  • Floor In charge Ensure all fire extinguishers are in working condition. And at least 15 people in every floor must be trained in operating the fire extinguishers. Aim should be to train all the workers in a floor to operate an extinguisher. They also must be easily identifiable (Badge) and listed in a register.
  • Workers actively participate in fire drills and are trained not to panic at times of emergency.
  • Toilets must be kept clean on a regular and periodical basis.
  • Aisles and emergency exits must be kept free of any obstruction at any given time so that employees can evacuate easily in times of emergency.
  • All loose, exposed or hanging wires must be corrected or repaired with the help of the floor electricians.
  • All machines needing adjustment or repair must be reported to the floor mechanic. A register is provided to the mechanics to assure issues regarding the machine is addressed in a timely manner. It helps management ensure everyone do their work responsibly.
  • Workers should be encouraged to use protective equipment for their own safety.
  • Workers should be informed and encouraged to exercise their rights, privileges and responsibilities. Periodic training and information sessions on security issues related to safety of man, material and information of the company must be conveyed. Also information regarding leave benefits like earned leave, sick leave, maternity leave, festival leave, weekly holidays, rest policy, minimum wages, overtime rates, attendance and festival bonus must be communicated with the workers. Manager Administration and Welfare Officer will attend these sessions to explain in detail as per the Employee Handbook.
  • Workers should be highly encouraged to use the suggestion or complain box to inform the management about their grievances or valued suggestions.  
  • ProductionFloor In charge, supervisors are to keep and maintain records of the production in the most eligible, transparent and clearly in the prescribed forms and registers provided by the company. Any record kept on any personal notebooks or loose sheets will not be accepted by the company.   • Time & Personnel Record Keepers
  • Timekeeper must come 10 minutes earlier than the scheduled time of opening of the factory.
  • Ensure newly hired employees must submit their completed Bio Data, Personal Information, Age Certification form (No worker shall be below the age of 18 on the day of the appointment) and reference letter wherever applicable and service book. All employees personal file, leave registers, and attendance registers are maintained and updated regularly. Any missing information must be related to the worker and Manager Administration for clarification.
  • Timekeeper Ensure all employees have a copy of worker’s handbook provided by the company. Any changes in policies and procedures must be related to them.
  • Ensure with the First Aid trained workers that First Aid Boxes are equipped with all the prescribed items on a regular and periodic basis. 
  • Monitor, check and ensure all employees punch in and out their cards themselves at the time of entering and leaving the factory. All working hours worked (General 8 hrs + Overtime 2 hrs, whenever applicable) by the employee must be recorded on the time card.

Compliace Issue

All manufacturing shall be performed in the country of origin, which has been identified by the Vendor and is stated on the Auto  purchase order. All merchandise will be accurately marked or labeled by the Vendor with its correct country of origin, in compliance with the laws of the United States and those of the country of manufacture, and correctly labeled with an accurate fiber content breakdown; RN number, WPL number or any other required identification number; care label instructions; and any other requirements of the U.S. Federal Trade Commission or similar authority in the country of destination.  The Vendor shall make all merchandise shipments with the appropriate documentation issued by the proper government authorities, including, but not limited to, visas, import licenses and quota allocations, and it shall comply with orderly marketing agreements, voluntary restraint agreements, and any other agreements in accordance with U.S. law. 

Conclusion

Timekeeper Job – Auto  will not knowingly use Vendors who use child labor.  Auto  expects its Vendors to comply with the law of the country of origin in defining the term “child”.  However, Auto  will not knowingly use Vendors that use labor from persons under the age of 16, regardless of the law of the country of origin. The Vendor shall maintain official documentation for every employee to enable verification of the worker’s date of birth.  In countries where official government documents are not available to confirm the exact date of birth, the Vendor must confirm age using an appropriate and reasonably reliable assessment method.

  • Any employee reporting for work, at work during duty hours, or on call-out duty, who has concentrations of any alcohol as documented by testing are in violation of this policy and are subject to suspension or termination.
  • According to the management decision whole premises of the factory should be kept drug free. In order to ensure all drivers/operators comply with AUTO polity and procedures, AUTO shall adopt a computerized gate system which shall have a gate specifically designated for drivers/operators ingress and egress from the site. Driver/Operator 1.0. Cards will not permit them access at any other gate.
  • All vehicles entering and leaving the site may be subject to search by the security guards at the gate.
  • Random searches of personnel may, as necessary be carried out by the guards at the gate to ensure that nothing leave the site without a duly authorized permit. However, the statutory rights of all individuals are to be respected and in no way infringed.
  • In case any person refuses to submit to a search, his supervisor and the respective Partner/Subcontractor, if applicable, shall be notified and required to attend to the gate, where the person will again be requested to allow for the search. Where such a request is again refused by the individual, the Security Manager/Administration Manager may notify the local police authorities of the situation, requesting their attendance at the site and possible further actions.
  • All Partner/Subcontractor drivers/operators entering the site shall be required to pass through AUTO security check “Porta-Cabin” to be breathalysed daily, prior to entering their designated gate.
  • Delivery truck drivers shall be periodically tested however their vehicle shall be subject to search upon every ingress and egress from the site.

Conclusion

Non Dot Drug Test -Materials including equipment and tools shall not be allowed to carry out from the construction site without a material pass issued and signed authorized person of the AUTO .   • In the event of a quarrel or other troubles, the guards shall immediately intervene to pacify the matter. An immediate report shall be made to the Security Officer for necessary actions. The Security Officer shall investigate the reasons of quarrel or trouble and report to the Contractor Administration Manager.

Conclusion

Guard Security – Any guard who witnesses an incident shall make an immediate report to HSE personnel or construction supervisor. If injury is serious, inform the First Aid for medical help. The scene of incident shall be immediately secured to prevent unauthorized entry to preserve evidences for further investigation.

  • Whilst AUTO  shall endeavor to protect Partner/Subcontractor from theft or damage to their property, the latter shall have ultimate responsibility for the security of such property.

  • Therefore, Partner/Subcontractor shall;
  • Utilize a system of identification on all of their tools, equipment and plant provides secure containers for the above.

  • In support of this, AUTO  security personnel shall not allow any materials, tools or equipment to be taken from the work site, unless accompanied by a material pass authorized by the relevant Subcontractor supervisor.
  • Any removal of permanent materials from site shall be coordinated with AUTO  Material Manager.
  • Ensure that breathalysing is daily implemented by the security guards with the help of the security guards of Partner/Subcontractor and Subcontractors are fully conversant with this security plan and any additional derivative documentation.
  • Establish and maintain close contact and coordination with the Company, Partner/Subcontractor and other relative legislative authorities in regard to security matters.
  • Report without delay any security irregularities, or breaches, or incident to the Security Manager/Administration Manager and advise any necessary measures to be taken to prevent the recurrence of such events etc.
  • Investigate any breaches of security and provide a written report to Security Manager/ Administration Manager within 24 hours.
  • Ensure that all security guards are competent, and provide additional training as necessary.
  • Be responsible for maintaining keys and locks to all buildings, ingress and egresses.
  • The prevention and elimination of losses is the responsibility of all persons either employed or visiting the project, and can only be achieved by the active participation and involvement of everyone concerned.
  • AUTO  shall provide education, communication and commendation to facilitate this participation, this includes that all employees are required to familiarize themselves with the provisions of this Plan.
  • Failure to comply with its requirements may result in disciplinary action including immediate diAuto ssal from the project.
  • AUTO  acknowledges that the optimum approach to the protection of its and the Company’s assets may change over time and to this end, shall enhance and update its operations on an ongoing basis.
